Our commitment

Soma Pliris is a project in research and development. We respect your privacy and collect only what is strictly necessary. This policy explains what we collect, why, and how to exercise your rights, in accordance with applicable Canadian privacy laws.

Information we collect

• Newsletter: your email address, your chosen language, and the date, time and an encrypted fingerprint of your IP address at sign-up (proof of consent required by Canada’s Anti-Spam Legislation).
• Virtual assistant: the messages you send to the assistant, in order to generate a reply. We do not keep the content of these conversations.
• Technical data: standard server logs (IP address, browser, pages visited), kept for security and proper operation of the site.

How we use it

We use this information only to announce the launch of Soma Pliris and send you our news, answer your questions and keep the site secure. We never sell, rent or trade your information.

Service providers and hosting

To run the site, we rely on trusted providers: Google Cloud (website hosting, sign-up database and the virtual assistant, powered by Google’s Gemini through Vertex AI) and Google Workspace (sending our emails). Your sign-up is stored in Canada. Some processing, such as sending emails or the assistant’s replies, may take place outside Québec and Canada, including in the United States; these providers are required to protect your information.

Cookies and videos

This site sets no advertising or tracking cookies and uses no analytics tool that follows you. Your browser only keeps, on your device, your language choice and, after you sign up, a masked version of your address (for example m•••@gmail.com) to recognize you on your next visit. This information is never sent to us, and you can erase it at any time by clearing this site’s data in your browser. YouTube videos only load if you click to play them, in privacy-enhanced mode (youtube-nocookie.com).

Retention

Your email address is kept until you unsubscribe, then deleted within a reasonable time. Technical logs are kept for a limited period.

Your rights

You may at any time request access to, correction or deletion of your information, and withdraw your consent. Every email includes a one-click unsubscribe link. If you are not satisfied with our answer, you may contact the Commission d’accès à l’information du Québec.

Governance of your information

Soma Pliris applies an internal personal information governance policy, approved by its person in charge of the protection of personal information. In short:

• Roles: the person in charge approves our practices, answers your requests and complaints, and handles any confidentiality incident. Access to data is limited to those who need it.
• Retention: your sign-up is deleted as soon as you unsubscribe; technical logs are erased after 30 days; if no launch has taken place 3 years after you signed up, we will ask you to confirm your interest, otherwise your address will be deleted.
• Requests and complaints: email admin@somapliris.com. We acknowledge receipt within 5 business days and answer in writing within 30 days, free of charge.
• Incidents: every confidentiality incident is recorded in a register and, if it presents a risk of serious injury, promptly reported to the Commission d’accès à l’information and to the people concerned.
• New projects: a privacy impact assessment is carried out before any new processing and before any communication of information outside Québec.
